Like many of you, I am the solo provider in my office. So when I am away, there are several things I need to take care of. Here are some things for you to think about when you are away for vacation, illness, continuing education or what-have you.

1. Let your patients know of your plans well in advance. At least one month if not sooner. This allows them to plan as well.

2. Notify your pharmacies as well. Several of the ones I routinely deal with will go ahead and fill a refill if it’s a chronic medication so patients don’t run out. Of course, this excludes controlled substances.

3. Put up a notice on your website.

4. Change your outgoing phone message and/or notify your answering service of your absence.

5. Leave instructions for patients on how to contact you (if you will be available) or what to do in an emergency.

6. Make arrangements for patients to be seen in other offices if available.

7. Consider hiring a locum tenens to manage your patients during your absence.

8. If you will be on call, leave instructions on how to contact you and when to expect a return call.

9. Stop your mail delivery.

10. Consider notifying UPS, FedEx, etc that your office will be closed and to hold any deliveries.

11. Notify other offices in your building, or neighboring businesses of your absences. They will be able to keep an eye open for suspicious activity.

12. Consider giving a trusted individual keys to your office. If there is a problem (power outage) you’ll want someone to be able to rescue medications and immunization that you likely have in your refrigerator.

13. If you choose to keep your fax on, you’ll want someone to check it from time to time. (Don’t forget about HIPAA).

14. Leave a note within the office with emergency contact information if law enforcement or the like need to enter your office.

15. Depending on your situation, you may want to leave a staff member in the office at least part of the day to field calls and handle some of the day to day requests that come in.

You may do some, none or all of the above. However, the more you can do, the easier your return will be. You may even find that people felt so well cared for, they didn’t even miss you!

If you’re looking for home office design ideas, here’s some thoughts to help get your creative juices flowing.

The world has evolved considerably since the days when the only workrooms within the home were considered to be ‘his study’ or ‘his workshop’. It was uncertain just how much work was undertaken in these rooms, but their attractions appeared to increase as domestic pressures mounted!

Today the spheres of work, study and leisure frequently merge. Many more women have taken up employment in recent years and family commitments mean that, in many cases, the home has become the most suitable location for work. Technology too has played its part, enabling information to be swapped from remote locations and rendering commuting to the city office an obsolete practice for many. Technology has also meant that domestic chores are reduced, thus freeing many more hours for leisure pursuits.

The rewards of combining work and leisure in the home are numerous and, by now, well recognized. A work package that includes spending the day in close proximity to loved ones, the elimination of wasted travel time and the possibility of working in an altogether more pleasant environment is indeed attractive.

It is not necessary, nor is it always practical, to devote a large space or considerable budget to providing a work area – it may even be self-defeating if the income gained through employment is eroded by the cost of providing facilities and if the space sacrificed detracts from family life. Perhaps just an old door supported by two second-hand filing cabinets (which will double up as a dressing table) in the spare room are all that is needed. It is really just a question of priorities. However, one thing we are sure of is that a room that is properly equipped, well located and appropriately decorated is more conducive to work than one that has to serve other purposes as well.

It is not long since out-buildings were thought of as a liability rather than the asset they are now considered to be. These form ideal locations for workrooms, but if they are in short supply, room must be found for a workspace within the home itself. For preference and convenience this should be a dedicated space – possibly a converted basement or loft?

Or perhaps an extension could be constructed or a teenager’s abandoned bedroom refurbished? A room dedicated to work will allow for peace and privacy and will mean that work and equipment can be left out until next required. It also allows you to decorate the room in a workmanlike fashion to encourage concentration.

If, however, it is not possible to dedicate a whole room to work, much thought needs to be applied towards ensuring that any multi-purpose room does not compromise both work and leisure activities and that the two functions do not become confused. To divide a room into distinct play and work zones, a piece of useful furniture (such as a bookcase) could be placed to form a screen, or perhaps the two areas could be defined by a change in floor level.

The way you arrange your home office desk can actually protect you from stress injuries. In fact, increasing your comfort may also increase your performance. A good computer desk will provide somewhere where you can work in an organized and comfortable way, and with enough storage space for all your paperwork and accessories. The following guidelines can be incorporated into your home office for a healthy, comfortable workspace. And remember that if you feel an ache, take a break from your home office computer desk.

Ergonomic computer desks are designed to help prevent eye strain. The ergonomic desk will have a monitor position that is approximately 24″ from the user. The monitor screen position will be at the top of, or slightly below eye level. A document holder or copyholder can be added to properly position the document upright. Other accessories related to eye strain can are glare filters to reduce glare, brightness and reflection. Task lighting also will help to illuminate documents and avoid shadows.

To prevent carpal tunnel syndrome, use an adjustable keyboard tray with your home office desk that keeps the wrist straight in a neutral position. Keep the bottom of the elbow even with the keyboard height. Keep forearms approximately parallel to the floor. Use minimum force while striking keys. Utilize chair arms for support.

Neck strain will be felt if the desk height is not correct. The correct position keeps your shoulders relaxed and in a neutral position as you type. Avoid cradling the phone between your shoulder and ear. Keep elbows close to your sides as you use the keyboard and mouse. Do not overextend your arm to reach the mouse. Keep the mouse as close to the keyboard as possible. Take a moment every so often to roll your shoulders up and back to alleviate tension.

Back pain is another sign of poor seating. Adjust your desk chair so your thighs are parallel to the floor. Sit back in the seat so that your lower back is supported firmly by the chair or a lumbar support cushion. Place feet on a footrest to relieve “pull” on the lower back (recommended if your feet don’t touch the floor). Try a molded seat cushion, which distributes weight and adds support. Make sure to get up and stretch every hour.
